Recording plot inspections

An inspection records the condition of a plot on a particular date. Record an inspection for every plot you check, whether or not there is a problem.

Site walk

To start a site walk, go to Inspections → Site walk. The site walk is designed for use on a phone. Each plot is shown as a card with two buttons:

• ✓ Satisfactory: records the plot as satisfactory.
• ⚠ Issue: opens a form where you can select the problems found, add a note, add a photo and change the date.

To add a note to a satisfactory inspection, select Add a note before selecting ✓.

Outstanding only is selected by default, so plots are removed from the list as they are inspected.

Entries that are not yet saved are stored on your phone. If the page reloads, the entry is restored.

To set how often plots are due for inspection, change the inspection interval. The default is 30 days. Plots inspected within the interval are not shown as outstanding.

Email the member

Recording an issue does not email the member. To email the member, select the option to email them when you save the inspection, or later from the saved inspection.

You can add a line to the email asking for the issue to be resolved by a certain date. Allotmin does not track this date or send follow-up reminders.

Emails sent are recorded in the member's correspondence log and linked to the inspection.

Log an issue for one plot

To record an issue without a site walk, go to Plots and select Log an issue from the plot's actions menu.

Inspection history

Each plot has a full inspection history. From the history, you can edit an inspection's date, outcome, note or photo, or delete an inspection.

Changing an outcome during a site walk adds a new inspection. The previous inspection is kept.

Inspections and plot holders

An inspection is recorded against the plot and the name of the plot holder at the time. If the plot is reassigned, previous inspections still show the original plot holder.
